Deputy Chief of Staff

The District Attorney’s Office in the Atlanta Judicial Circuit has an opening for a Deputy Chief of Staff.  The purpose of this classification is to plan, organize, and manage activities of the administrative division of the Office of the District Attorney. Responsibilities include supervising administrative staff; personnel, customer service, planning, facilities, risk management, and related administrative operations; overseeing and providing executive-level support; and coordinating special projects. This position will serve as the Chief of Staff in the absence as the same.

The following duties are normal for this position; other duties may be required and assigned:

• Work closely with Leadership and FJC Committee to identify all services needed by Fulton County victims
• Work with DREAM and Operations to confirm building space for FJC
• Define policies and procedures for all partners working within building
• Coordinate presence of law enforcement within the center, ensuring a seamless and supportive process for survivors.
• Conduct Outreach services ensuring that survivors are aware of the support available to them through the FJC.
• Collect data and conduct ongoing assessment activities to determine if the program is meeting its stated goals and objectives of meeting the needs of victims. Supervises, directs, and evaluates assigned staff: develops and oversees employee work schedules to ensure adequate coverage and control; compiles and reviews timesheets; approves/processes employee concerns and problems and counsels or disciplines as appropriate; assists with or completes employee performance appraisals; directs work; acts as a liaison between employees and management; and trains staff in operations, policies, and procedures.

Organizes, prioritizes, and assigns work; prioritizes and schedules work activities in order to meet objectives: ensures that subordinates have the proper resources needed to complete the assigned work; monitors status of work in progress and inspects completed work; consults with assigned staff to assist with complex/problem situations and provide technical expertise; provides progress and activity reports to management; and assists with the revision of procedure manuals as appropriate.

Assist in managing administrative and support functions of the office: oversees office and financial management: oversees customer service and public relations functions; oversees executive support to the District Attorney; responds to issues related to risk management, grants management, personnel, facilities management, or other administrative functions; and serves as back-up to employees in any of these areas.

Provides guidance and support for development and implementation of new initiatives and programs: coordinates with program/initiative leader; anticipates challenges and troubleshoots problems; brings in appropriate outside entities; assists with writing, presentations, and budgeting for new initiatives and programs; and monitors progress and outcomes.

Serves as a liaison for the office to external projects and committees as assigned: attends and participates in meetings; gathers and disseminates relevant information to staff.

Processes a variety of documentation associated with department/division operations, within designated time frames and per established procedures: receives and reviews various documentation, including fuel reports, accident reports, grants reports and budget reports; reviews, completes, processes, forwards or retains as appropriate; prepares or completes various forms, reports, correspondence, and other documentation, including statistical analyses, budget reports, and letters from the District Attorney; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hard copy records. essential functions.

Communicates with supervisor, other employees, third party service contractors, the public, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.

Preferred Qualifications: Bachelors Degree in business administration, criminal justice, or a related field required; supplemented by five years of experience in office administration, financial management, or executive support, to include three years supervisory experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Salary Range: $107,651.00 – $191,888.00
