Executive Assistant

The District Attorney’s Office in the Macon Judicial Circuit has an opening for an Executive Assistant. The following duties are normal for this position; other duties may be required and assigned:

Job Description:  Under broad supervision, provides administrative support to the District Attorney’s administration. Responsible for scheduling appointments, maintaining calendars, and managing multiple priorities. Assist in the preparation of reports, gathering and researching information, preparing presentations, coordinating meetings, copying, and filing, preparing notes, performing data entry, and other special projects as needed. Reviews incoming correspondence to executive and forwards appropriately or, based on a knowledge of recipient’s needs, may formulate responses. Maintains confidential information. Manages complex duties that require a great degree of independent judgment. Must be able to communicate effectively both within the Office and with the public. Performs related responsibilities as required to assist the District Attorney in an administrative capacity.

Duties and Responsibilities:  The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.

• Assists in creating, producing, updating, or disseminating basic information packages, fact sheets, program newsletters, resource guides, educational programs, etc. for use within and/or outside the division/department.
• Assists in developing marketing materials (e.g., exhibits and promotional materials)
• Assists in planning and coordinating conferences, meetings, and special events.
• May participate in planning, complete special research projects, or assist with development and presentation of educational outreach activities.
• Provides organizational assistance to management.
• May recruit, interview, hire, and train junior administrative staff in the department.
• Provides high-level administrative support and assistance to the District Attorney and/or other assigned leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
• Arranges travel and accommodation for executives.
• Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
• Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
• Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
• Performs additional duties as assigned by executives.
• Performs other related duties as needed and assigned by the District Attorney.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

The Executive Assistant should possess, at a minimum, a High School Diploma or GED; Bachelor’s degree in Business Administration or related field preferred. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position.

NECESSARY SPECIAL REQUIREMENTS:

Travel:
The Executive Assistant is required to travel infrequently.

Special Certifications and Licenses:
Required to possess and maintain a valid state driver’s license with an acceptable driving history.

Salary Range: $60,000.14
